We may collect the following kinds of personal information:

• Name, email address, and phone number — when you submit an inquiry to a psychologist through our site
• Postcode — to help find psychologists near you
• Scheme information — which funding scheme you are covered under (Medicare, DVA, NDIS, WorkCover, TAC)
• Message content — any information you choose to include in your inquiry message to a psychologist
• Your choices on the inquiry form — that you agreed to us passing your inquiry to the psychologist you chose, whether you asked for occasional updates, and which version of that wording you saw
• Usage data — the pages visited and the website that referred you (see "Cookies and analytics" below), and the searches made on the site, none of which is linked to you

We do not collect sensitive health information beyond what you voluntarily include in your inquiry message.

We collect information when you:

• Submit an inquiry or referral request through our site
• Browse and search the site
• Contact us directly

We collect your information to:

• Connect you with a psychologist who matches your needs
• Facilitate your inquiry to the psychologist you select
• Improve our search and referral service
• Respond to your enquiries
• Comply with legal obligations

We share your inquiry information (name, email, phone, and message) only with the psychologist you select, and only after you have agreed to that on the inquiry form. We keep a copy of inquiry emails in our own mailbox as a record of the service. We do not sell, rent, or trade your personal information to third parties.

Our website and database are hosted on servers in Sydney, Australia, with Vultr (vultr.com). Our emails, including inquiry notifications and our mailbox, are sent and stored by VentraIP, in Australia. Two services we use can process information outside Australia:

• Google Analytics, only if you choose Accept in the cookie banner (see below)
• Stripe, which processes payments for psychologists who pay for a listing. Clients never pay through this site, so Stripe holds no client information.

We take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification, or disclosure. This includes encrypted data transmission (HTTPS) and access controls on our database.

We retain your personal information only for as long as necessary to provide our service or as required by law.

We keep inquiry information for up to 36 months from your last activity with us. After that period, we automatically de-identify it — permanently removing your name, email address, phone number, and message — while keeping anonymised records (such as the postcode area and which scheme was selected) for service analytics. De-identified records can no longer be linked back to you.

You can also ask us to de-identify your information sooner — see "Accessing, correcting, and erasing your information" below.

You have the right to:

• Access — request a copy of the personal information we hold about you
• Correction — request that we correct any information that is inaccurate, incomplete, or out of date
• Erasure — request that we de-identify your information, removing your name, email, phone number, and message. (We are not always able to delete information we are required by law to keep.)

To make a request, contact us at info@clearaccesspsychology.com.au. We will verify your identity and respond within a reasonable period, normally within 30 days. These requests are free of charge.

You can also stop receiving emails from us at any time using the unsubscribe link in any email we send.

When you send an inquiry, you can choose whether to receive occasional emails about gap-free psychologists and services near you. This is optional and separate from your inquiry: leaving it unticked does not affect your inquiry in any way. You can unsubscribe at any time with the link in any email.

If you believe we have breached the Australian Privacy Principles, you can complain in writing to:

We will acknowledge your complaint within 7 days and respond within 30 days. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

This website uses minimal cookies for essential functionality, such as keeping a psychologist logged in to their dashboard. We do not use cookies for advertising or marketing.

With your permission, we use Google Analytics to understand how people use the site. Google Analytics is not loaded, and sets no cookies, unless you choose Accept in the cookie banner. If you choose Decline, or make no choice, it stays off. You can change your choice at any time with the Cookie settings link at the bottom of every page; declining after accepting switches Google Analytics off and removes its cookies.

Your cookie choice is remembered in your browser's storage, so we don't ask on every visit.

We also measure visits ourselves, without cookies and without storing anything in your browser. For each page viewed we record the page's address (without any search filters), the website that sent you there (just its name, such as google.com), any campaign label in the link you followed, and whether you are on a phone, tablet or computer. This tells us where visitors come from, such as search engines, social media or other websites.

When you search the directory or view a psychologist's profile, we record the search (the postcode, radius and filters you chose, and which psychologists were shown) and the profile view. We use these records to show each psychologist how often they appeared in searches and how often their profile was viewed, and to understand where people are looking for psychologists so we can improve access to care. Psychologists see totals only, never who searched.

None of these records includes your IP address or your name. Instead they carry a code derived from your connection that changes every day. Within a single day it shows that several page views or searches came from the same connection, which is how we count visitors; it cannot be traced back to you, and it cannot connect one day's visits to another's. If you send an inquiry, we record only that it followed a search, never which search, so your inquiry is not linked to the filters you chose. We keep page-view records for 25 months.

We may update this privacy policy from time to time. Changes will be posted on this page with an updated date.

This privacy policy is governed by the laws of Victoria, Australia.
